1. About this Privacy Policy

This Privacy Policy applies to:

  • the website at zorvixinfotech.com;
  • the Start a Project / Project Finder experience available on the website, through which a visitor describes a project and receives an Initial Project Snapshot;
  • project enquiries submitted through the website using Project Finder; and
  • website-based communications relating to those enquiries, including our acknowledgement of your enquiry and any follow-up regarding it.

Zorvix Infotech Private Limited ("Zorvix", "we", "us" or "our") is the organisation responsible for the activities described in this Privacy Policy. If you have questions about this Privacy Policy or how your information is handled, see Contact (Section 14) below.

2. Information we collect

When you use Project Finder to submit a project enquiry, we may collect information including:

  • your name;
  • your company or organisation, when supplied;
  • your email address;
  • your phone number, when supplied;
  • your preferred contact method;
  • your project requirements;
  • your structured Project Finder answers;
  • additional notes you voluntarily supply;
  • your intended project timeline, and a timeline date where applicable;
  • your explicit consent to be contacted, together with a consent timestamp and a record of which consent/Privacy Policy version applied at the time (see Consent, Section 4);
  • browser/user-agent information, used for operational and security purposes;
  • Project Finder entry/context information (for example, how you arrived at the Finder);
  • your Initial Project Snapshot; and
  • system-derived project capability/service assessment and other deterministic project-analysis results generated automatically from the answers you submit.

Security / network information

Project Finder does not intentionally store your raw IP address in the Project Finder enquiry record. Instead, when your enquiry is submitted, our application derives a one-way, cryptographically keyed token from network information and stores only that token, for abuse-prevention and security purposes such as detecting unusual submission patterns. This is a keyed pseudonymous token rather than a plain hash of your IP address and is not designed to reveal the original IP without access to the protected server-side secret.

This is separate from ordinary website hosting/infrastructure. Like effectively any website, our hosting and web-server infrastructure may separately create its own technical/security request logs, which can include information such as IP address, timestamps, the requested URL, browser/user-agent information, and server/error/security events. We are not claiming those infrastructure-level logs do not exist — they are a normal, expected part of operating a website, and are described here for transparency even though Project Finder itself does not read or rely on them.

Please do not share unnecessary sensitive information

Project Finder's free-text fields (for example, your project requirements or additional notes) are meant for describing your project. Please do not enter unnecessary highly sensitive information into them, including passwords, payment-card credentials, banking credentials, government identity documents, medical information, authentication secrets, or other unnecessary sensitive personal information.

Project Finder does not collect payments, card details, government identity documents, account passwords, visitor file attachments, or other financial credentials. If any of that changes in the future, this Privacy Policy will be updated before such collection begins.

3. Why we use information

We use the information described above to:

  • receive your project enquiry;
  • understand your project requirements;
  • evaluate the requirements you have stated;
  • generate relevant project analysis and Initial Project Snapshot information;
  • determine potentially relevant Zorvix capabilities/services for your project;
  • contact you about the project you submitted;
  • respond to your enquiry;
  • maintain your submission and its public reference;
  • handle duplicate or retry situations correctly, so your enquiry is not lost or processed twice;
  • detect abuse, fraud or technical misuse;
  • maintain the operational and security integrity of Project Finder;
  • deliver, and where necessary retry, the notifications required to process your enquiry;
  • maintain necessary business and legal records; and
  • comply with applicable law.

Marketing/newsletter consent is not bundled with Project Finder consent. Submitting a Project Finder enquiry and agreeing to be contacted about that project does not sign you up for a newsletter, promotional marketing, or unrelated advertising. If Zorvix introduces promotional marketing subscriptions in the future, they will require their own separate, optional mechanism — never something read out of your Project Finder consent.

4. Consent

Before you can submit a Project Finder enquiry, you must check a single consent checkbox with the following exact wording:

"I agree to be contacted about this project, and I've read the Privacy Policy."

  • This checkbox is never preselected — you must actively check it yourself.
  • Consent is required before a Project Finder enquiry can be submitted; an enquiry cannot be sent without it.
  • A consent timestamp is stored server-side at the moment you submit.
  • A consent/Privacy Policy version is stored alongside your enquiry, so Zorvix can identify which version of this Privacy Policy applied at the time you submitted.
  • A later revision of this Privacy Policy will not silently reinterpret consent you already gave under an earlier version — your historical consent is read against the version that actually applied at the time.

5. Cookies and sessions

Project Finder uses an essential, server-side session cookie to support functions such as:

  • maintaining your Project Finder session as you move through it;
  • submission security;
  • CSRF (cross-site request forgery) protection;
  • submission-attempt integrity; and
  • temporary application state required for the Project Finder journey.

We do not currently use advertising cookies. If Zorvix introduces non-essential analytics, advertising, or similar technologies in the future, this Privacy Policy and any relevant cookie disclosures and consent controls will be updated as required before that use begins.

6. How information may be shared

Zorvix does not sell your Project Finder personal information.

Information may be accessed or processed, where reasonably necessary, by:

  • authorised Zorvix personnel who need it to review or respond to your enquiry;
  • website, infrastructure and hosting providers;
  • email delivery / business communication providers, used to send and receive enquiry-related messages;
  • security or technical service providers, where applicable;
  • professional advisers; and
  • governmental, regulatory or legal authorities, where legally required or reasonably necessary.

Any such provider receives only the information reasonably necessary for the function it performs for us. Where an enquiry-related message happens to be delivered to or from a particular mail service, that does not make the mail service a marketing partner — it is acting only as a delivery channel for that communication.

7. International processing

Infrastructure and service providers we use may process information in India or in other jurisdictions in which they operate. Any such processing remains subject to applicable law and to any applicable restrictions on cross-border processing. We do not guarantee that all information is processed or stored exclusively in India, since that is not something our current infrastructure guarantees.

8. Data retention

Project Finder enquiry data is ordinarily retained for up to 24 months from the submission date.

We may retain information for longer where reasonably necessary, including where:

  • the enquiry becomes an active client engagement;
  • contractual or business records need to be retained;
  • accounting or tax requirements apply;
  • applicable legal requirements apply;
  • there is a dispute;
  • a security investigation is underway;
  • a fraud or abuse investigation is underway; or
  • retention is necessary for the establishment, exercise or defence of legal claims.

Information may also be deleted earlier than the periods above following an appropriate, valid deletion request, where no applicable lawful, business or legal requirement requires continued retention.

Technical/security/server logs described in Section 2 may follow different retention periods than Project Finder's own enquiry data. Where applicable law requires a minimum retention period for particular technical/security records, those records may be retained for that required period.

9. Security

We use reasonable technical and organisational safeguards appropriate to the information involved and to how Project Finder operates. Depending on the context, this can include controlled access, a private configuration/secrets boundary kept separate from application code, secure transport, operational security controls, restricted system access, security monitoring, and other appropriate application safeguards. We do not publicly describe the specific implementation details of these safeguards.

No method of transmission over the Internet, and no method of electronic storage, can be guaranteed to be completely secure. We cannot promise that your information will be 100% secure, only that we take reasonable, appropriate steps to protect it.

10. Privacy rights and choices

Subject to applicable law and the circumstances of your request, you may contact us to:

  • ask what personal information we hold about your enquiry;
  • request correction of inaccurate information;
  • request deletion of your information, where applicable;
  • withdraw your consent for future consent-based processing;
  • ask privacy-related questions; or
  • raise a privacy grievance.

You can reach us at admin@zorvixinfotech.com. We may reasonably verify your identity before acting on a request. Withdrawing your consent does not automatically invalidate processing that was lawful before the withdrawal. This section describes your choices in good faith; it is not a promise of rights beyond what applicable law actually provides.

11. Children

The Zorvix corporate website and Project Finder are intended for business and project enquiries, and are not designed to knowingly collect personal data from children. We do not currently operate an age-verification system. If you are a parent or guardian and believe a child has submitted personal data to us, please contact us using the details in Section 14 so we can address it.

12. Personal data / security incidents

If a personal-data or security incident affecting your information occurs, we will handle it appropriately and make any notifications required by applicable law. We do not commit to a fixed notification deadline beyond what applicable law actually requires, since the appropriate timing can depend on the nature of the incident.

13. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. Where a change is material to privacy or consent terms, it will receive a new policy/consent version, and the effective date/version will be updated prospectively from that point. Updating this Privacy Policy does not change what applied to enquiries submitted earlier: existing Project Finder records continue to retain the privacy/consent version that actually applied at the time each visitor submitted their enquiry (see Consent, Section 4).
